Report delivery for Australian imaging clinics

Deliver imaging reports to referring doctors through your RIS

Australian imaging clinics can send authorised reports through a secure messaging network used by the referring practice, such as HealthLink or Medical Objects. The network carries the message; QUBS is the radiology information system (RIS) that manages report authorisation and dispatch.

Bring report preparation, authorisation and delivery into the same workflow used to manage the appointment. Give referrers a complementary way to view reports and images through the QUBS portal.

What good report delivery looks like

A useful delivery workflow starts with the correct patient, an authorised report and an accurate destination for the referring doctor. It also needs a clear process for checking delivery and following up exceptions.

When comparing systems, ask to see:

  • How the clinic records and maintains each referrer's destination and delivery preferences.
  • What triggers dispatch after report authorisation.
  • How the receiving practice gets the report through its supported messaging network and software.
  • What delivery acknowledgements mean, where staff see them and how failed messages are followed up.
  • How authorised referrers can access the associated images when needed.

Use these questions in a demonstration of your own workflow, including an unsuccessful delivery scenario.

How QUBS sends reports to referrers

After authorisation, QUBS supports automatic dispatch using the clinic's configured channels, including HL7 messaging through HealthLink or Medical Objects. Fax, email and SMS workflows are also available.

  1. Keep the destination with the referrer. Record the referring provider and their delivery preferences in QUBS.
  2. Prepare and authorise the report. The clinician reviews and authorises the report in the reporting workflow.
  3. Send through the configured channel. QUBS dispatches the authorised report using the clinic's delivery setup.
  4. Provide image and report access. Use the referrers portal as a complementary way for authorised referrers to view results.

For electronic delivery, confirm the receiving practice's supported network and destination during setup. Email, fax and SMS workflows should be evaluated separately from secure clinical messaging.

HealthLink report delivery

QUBS integrates with HealthLink to send radiology reports to referring GPs and specialists after authorisation. HealthLink carries the message through its secure messaging network.

If your referrers use HealthLink, review their receiving details and the clinic's configuration as part of setup. HealthLink's radiology guide explains the network's role in electronic report exchange.

Medical Objects report delivery

QUBS also integrates with Medical Objects, connecting clinics to its secure messaging network for exchanging reports and clinical correspondence with referrers and specialists.

For practices receiving through Medical Objects, confirm the receiving destination and delivery setup. You can review the integration on the QUBS integrations page and learn about the network from Medical-Objects.

Check delivery status and follow up failed reports

Staff can use Document Deliveries in QUBS to filter records by date, delivery method, status or patient. Open a delivery to inspect the recorded timestamps, status message and failure reason when available.

For HealthLink connections configured to receive recipient acknowledgements, QUBS distinguishes sending to HealthLink from acceptance by the receiving system. A matching acceptance updates the delivery to Delivered; a recipient error or rejection updates it to Failed. Acceptance by the receiving system does not mean the referring doctor has read the report.

If a report needs to be sent again, authorised staff can use the report's Send report action to review the recipient and destination before submitting another delivery request. Investigate the failure and correct any destination details first. Submitting a request is separate from confirmation that it has been received.

Referrers portal: reports and images together

Secure messaging and portal access serve complementary needs. Messaging delivers the report through a supported receiving workflow. The QUBS referrers portal gives authorised referrers access to reports and images through a browser on desktop or mobile.

Include portal access in your delivery plan when referring doctors need to review images alongside the report. Explore the QUBS referrers portal.

Keep delivery connected across your imaging group

For a group operating across locations, report delivery belongs within the wider booking, patient and reporting workflow. Assess how each site records referrers and uses its configured delivery channels during your demonstration.

Frequently asked questions

Best way for Australian imaging clinics to deliver reports to referring doctors

A practical approach is to connect the clinic's RIS to a secure messaging network supported by the referring practice. QUBS supports report authorisation and dispatch through HealthLink or Medical Objects, with portal access for viewing reports and images.

Does QUBS support HealthLink and Medical Objects?

Yes. QUBS integrates with HealthLink and Medical Objects for report delivery. Confirm the receiving practice's network, destination and the clinic's delivery configuration during setup.

Does the referrers portal replace secure messaging?

The portal is a complementary channel. Secure messaging delivers reports through supported receiving workflows, while the QUBS referrers portal provides browser access to reports and images.

When does QUBS send a report?

QUBS supports automatic report dispatch after authorisation through the clinic's configured delivery channels.

Should my clinic use HealthLink or Medical Objects?

Start with the networks used by your referring practices. QUBS supports HealthLink and Medical Objects. Confirm the receiving destinations and the connections your clinic needs during setup.

Do referring doctors need a QUBS portal login to receive a report?

Secure messaging delivers reports through the receiving practice's supported messaging setup. Referrers use a QUBS portal login when they want to view reports and images in the portal. These are separate ways to access results.

How can staff check whether a report was delivered?

Open Document Deliveries in QUBS to review the recorded status, timestamps and any failure reason. For HealthLink connections configured to receive recipient acknowledgements, QUBS records acceptance or rejection by the receiving system. Acceptance does not confirm that a doctor has read the report.

Can staff send a report again if delivery fails?

Authorised staff can use the report's Send report action to review the recipient and destination and submit another delivery request. Check the failure reason and correct any destination details first. A submitted request does not itself confirm receipt.

Who arranges the messaging accounts, and are there extra charges?

Your clinic signs up directly with HealthLink or Medical Objects and supplies its own account for the connection. QUBS does not charge setup or usage fees for these integrations. Any provider fees are separate and should be confirmed directly with your chosen provider. QUBS subscription pricing and charges for other channels, such as SMS and fax, are separate.

Set up your messaging connection

Your clinic signs up directly with HealthLink or Medical Objects and supplies its own account. QUBS does not charge setup or usage fees for these integrations. Confirm any provider fees directly with your chosen network.

Bring your account details and a list of referring practices to the setup discussion. Review the receiving destinations, the software and connection configuration your clinic needs, and how your team will check delivery and follow up failures.

Your QUBS subscription and other delivery channels are separate. See QUBS pricing for plan inclusions and SMS and fax charges.
