Opening a new clinic?
You can discuss your setup before equipment and the opening date are final. QUBS sets up the system and provides staff training.
- Describe your service: share your locations, equipment, staff roles, reporting arrangements and expected study volume.
- Arrange machine configuration: QUBS supplies PACS configuration details, such as AE title and IP information. Your clinic enters them into the machine or contacts the manufacturer to configure it.
- Prepare referrers: supply your referrer list in Excel for QUBS to import.
- Plan staff training: agree which staff and workflows the QUBS training will cover.
- Check the clinic workflow: agree how your team will check bookings, imaging, reporting, billing and delivery, and who decides whether the setup is ready.
Migration can take place after your clinic starts using QUBS. Agree which records are needed at launch, which history will follow and how staff will access essential history during the transition. Other historical-record imports depend on source exports, sample assessment and an agreed scope. Use the migration guide to plan each stage.
Plan bookings across your service locations
QUBS brings scheduling and patient information into the same RIS workflow. For a mobile service, start with the locations, appointment times, examinations and referral information your team needs before each visit.
Review how your team allocates appointments across rooms and sites in a scheduling demonstration. Include travel time and changes to the day's list in the discussion; confirm how these will be managed in your setup.
Connect mobile equipment to imaging and reporting
Use QUBS PACS alongside the RIS for imaging and report workflows. Mobile ultrasound, X-ray and CT services can bring different equipment and connection requirements, so review each scanner and acquisition path before rollout.
- List the scanner models and the imaging software used with them.
- Check patient and examination identifiers, image transfer and access to prior studies.
- Demonstrate how the reporting team receives and completes an examination.
Plan for connectivity at each visit
Mobile teams can perform their scans without internet access. Once internet is available, they can upload the scans to QUBS, which processes them online.
Plan where scans will be held on your acquisition equipment until upload, who uploads them and who checks patient and examination matching. Review interrupted uploads and recovery with your equipment. This scan-then-upload workflow does not imply that the cloud RIS, reporting or billing operates offline, or that upload starts automatically.
Deliver authorised reports to referring doctors
After authorisation, QUBS supports report dispatch through configured HealthLink or Medical Objects connections, alongside other delivery channels. The clinic signs up with its chosen provider and supplies its own account. QUBS charges no setup or usage fee for these two integrations; confirm provider charges separately.

Bill for your mobile imaging work
QUBS supports private, Medicare, DVA, motor vehicle insurance, workers' compensation and custom billing types for human healthcare clinics, including mobile imaging services. Review the billing setup for the services and providers in your mobile operation.
Bring examples of your billing workflow to the demo, including who raises the invoice and how the team follows up payments or claims. Software support for a billing type does not determine whether a particular service is eligible for payment.
Choose a plan and prepare the rollout
Mobile CT uses Radiology plans, mobile ultrasound uses Ultrasound plans, and mobile X-Ray uses X-Ray plans. For a mobile service offering a mix of modalities, ask the team to confirm the plan.
QUBS pricing is based on clinic type and included study volume, with plans supporting multiple sites and PACS storage included. All prices are in AUD, excluding GST. No charge is taken at sign-up; subscription billing starts on your clinic's go-live/start date and recurs monthly.

What should your software budget include?
Start with the monthly plan, its included scan or study volume and the excess usage rate. Then check the selected plan's features, optional support, SMS or fax charges and any third-party services. The QUBS pricing page lists the published plans and add-ons.
For a new clinic, request a written scope for configuration, equipment connections, training and any setup charge. For an existing clinic, include any data migration work. Prices are in AUD, excluding GST. One billable study is one modality within one appointment; imported studies count, while corrections and reuploads of the same study count once. Review the pricing page and the costs that apply to your proposed setup before committing.
How do support and access to your data work?
All QUBS accounts include basic email support. Paid support options include phone support. Read the Support Policy for coverage and response targets, and compare the optional support plans with your operating hours.
The current Service Agreement says customers may export Customer Data during the subscription and that QUBS provides a copy upon termination. Confirm the records, images, format, retrieval process and any applicable charges your clinic would need.
Use the Security Policy and Privacy Policy to review data handling. Ask how hosting, access permissions, backups and recovery apply to your proposed configuration.
