Imaging workflow software for veterinary clinics

QUBS supports veterinary imaging clinics with cloud RIS and PACS software and separate animal and owner records. Coordinate your imaging service around bookings, images, reports and billing, with equipment connections reviewed for your clinic.

Review your veterinary imaging workflow

Opening a new clinic?

You can discuss your setup before equipment and the opening date are final. QUBS sets up the system and provides staff training.

  1. Describe your service: share your locations, equipment, staff roles, reporting arrangements and expected study volume.
  2. Arrange machine configuration: QUBS supplies PACS configuration details, such as AE title and IP information. Your clinic enters them into the machine or contacts the manufacturer to configure it.
  3. Prepare referrers: supply your referrer list in Excel for QUBS to import.
  4. Plan staff training: agree which staff and workflows the QUBS training will cover.
  5. Check the clinic workflow: agree how your team will check bookings, imaging, reporting, billing and delivery, and who decides whether the setup is ready.

Migration can take place after your clinic starts using QUBS. Agree which records are needed at launch, which history will follow and how staff will access essential history during the transition. Other historical-record imports depend on source exports, sample assessment and an agreed scope. Use the migration guide to plan each stage.

Choose software around your imaging service

Start with the examinations you perform, the team booking them and the clinicians who interpret the images. QUBS brings RIS and PACS capabilities together so you can assess the administrative, imaging and reporting workflow in one discussion.

Whether imaging is part of a veterinary clinic or a dedicated service, bring a representative booking and report workflow to the demo. Explore the PACS capabilities and any practice software you plan to use.

Check animal, owner and referring-vet information

QUBS keeps separate animal and owner records for veterinary care. In your demonstration, check the identifiers and species details your service needs, how referring-vet details are recorded and how examinations are associated with the correct animal.

  • Show the identifiers, species details and forms your service needs.
  • If you already use practice software, confirm which information stays there and which information QUBS needs.
  • Check how bookings and examination records are matched.
  • Confirm who receives the report and how recipient details are maintained.

Ask the team to demonstrate the animal identifiers, species, owner and referring-vet details your service needs before choosing a plan.

Review image transfer and reporting

Bring your modality list, scanner models and acquisition software to the review. Check how images enter PACS, how clinicians access the examination and any prior images, and how the report is completed.

Agree the report recipients and delivery channel for your veterinary service. Confirm any practice-software interface or portal requirement against the proposed setup. The integrations overview is a starting point for that discussion, not a guarantee of compatibility with every veterinary system.

Use billing suited to veterinary care

QUBS supports private, insurance and custom billing types for veterinary clinics. Medicare and DVA billing do not apply to veterinary imaging.

Review who is invoiced and how payments and any insurance-related billing are handled in your configuration. Support for an insurance billing type does not imply a direct electronic connection to every insurer.

Check veterinary pricing and implementation

Count all client clinics your imaging service supports, including your own, when completing sign-up. Use the accepted ranges of 1, 2-5, 6-10, 11-25 or 26+; if your count is not covered, enquire with our team.

The QUBS pricing page includes veterinary plans with included study volumes and excess rates. Review the selected plan's features, optional services and any required connections.

If you are moving imaging records from another system, confirm the source export, import scope and historical access. Use the migration guide to prepare those questions, adapting the record inventory to your veterinary service.

What should your software budget include?

Start with the monthly plan, its included scan or study volume and the excess usage rate. Then check the selected plan's features, optional support, SMS or fax charges and any third-party services. The QUBS pricing page lists the published plans and add-ons.

For a new clinic, request a written scope for configuration, equipment connections, training and any setup charge. For an existing clinic, include any data migration work. Prices are in AUD, excluding GST. One billable study is one modality within one appointment; imported studies count, while corrections and reuploads of the same study count once. Review the pricing page and the costs that apply to your proposed setup before committing.

How do support and access to your data work?

All QUBS accounts include basic email support. Paid support options include phone support. Read the Support Policy for coverage and response targets, and compare the optional support plans with your operating hours.

The current Service Agreement says customers may export Customer Data during the subscription and that QUBS provides a copy upon termination. Confirm the records, images, format, retrieval process and any applicable charges your clinic would need.

Use the Security Policy and Privacy Policy to review data handling. Ask how hosting, access permissions, backups and recovery apply to your proposed configuration.
